Summary of Responsibility: The Contract Administrator is responsible for facilitating the execution of contracts for the sale of machine tools as well as tooling & accessory orders; including analyzing the order and related paperwork, procuring the machine and all related accessories, issuance of order acknowledgements to the customer, scheduling the delivery of the equipment, coordinating the install and training schedule with applicable departments and setting up the sales order in the ERP system. This position communicates with customers, vendors, sales personnel, and other internal departments to provide contract summaries and ensure contract execution is in accordance with company policies. What You Will Contribute:
- Prepare contract change notices and supervising contractor performance
- Quote, coordinate and schedule freight and rigging services
- Generate purchase orders to vendors, communication of delivery requirements and track order fulfillment and backlog status.
- Maintain audit files for each contract, including original contracts, correspondence, purchase orders, amendments, and payment schedules
- Overall project management of machines and accessory orders.
- Ensure contractors are in compliance with legal requirements, and disseminating information to appropriate employees regarding contract status
- Ensure customer commitments are implemented as planned and exhibit ownership of problems, including coordinating with appropriate departments when vital for resolution of problems to ensure customer satisfaction
- Possess and maintain knowledge of the machine tool industry and product lines represented by the company
- Assist sales staff in presale activities such as preparation of sales quotes, assisting with sales events such as open houses and trade shows, and assisting with marketing efforts
- Develop and maintain project schedules and lead to ensure adherence to the project plan

Qualifications & Competencies:
- Associate’s degree in Business Administration or related field.
- Strong customer service skills.
- Three years of experience in Contract Administration; familiarity with contract policies.
- Highly detailed and organized; able to lead multiple priorities with minimal supervision.
- Proficient in Microsoft Office Suite and other business-related programs, as necessary.
- Solid written and verbal communication, listening, customer service, and team skills.
